How Intellerator Helps Businesses Swiftly Track Supplier Performance in Sage 200

It is crucial to track late payments to suppliers in Sage 200 to maintain financial health and supplier relationships. Read on to track supplier performance, ensure compliance with government regulations, avoid interest and penalties, and enable better budgeting.

In the UK, the government has implemented laws to address late payments between businesses. The Late Payment of Commercial Debts (Interest) Act 1998 and the Late Payment of Commercial Debts Regulations 2013 provide a structure for charging interest on late payments. Government bodies and large UK firms must also report on supplier payment performance by law.

Tracking supplier performance in Sage 200

Sage 200 offers tools to track supplier performance, such as Ageing periods and the aged creditors report. Aging periods categorize outstanding payments into various timeframes (e.g., 0-30 days, 31-60 days, 61-90 days, etc.), allowing you to see how long each invoice has been outstanding.

To access the ageing period settings, click Purchase Ledger> Utilities > Ledger Set Up > Ledger Settings > Ageing.

Generate supplier performance reports in Sage 200

Now you can generate an aged creditors report in Sage 200. The aged creditors' report provides a summary of what you owe to each supplier and how long each payment has been outstanding. There are two aged creditors reports: summary and detailed. The detailed report also provides the transaction breakdown of the balance of each supplier.

To generate the aged creditors report, click Purchase Ledger > Reports > Payments Control > Aged Creditors.

Limitations of the aged creditors report in assessing supplier performance

However, the aged creditors report comes with its own limitations; the biggest one being that it is difficult to assess if your supplier performance has improved over time. To do this, you will need to generate an aged creditors report for each month of the financial year and gather the data yourself into a format such as Excel. Potentially time consuming and error prone. The report also doesn't show you the allocations you have made against your supplier transactions. This could hide whether older invoices have mistakenly not yet been allocated to, which would distort the true payment performance for a supplier.
